Position Overview:

Tuljabhavani Engimech Pvt. Ltd. is looking for a dedicated and detail-oriented Project Coordinator to support and manage various projects from initiation through completion. The ideal candidate will have strong organizational and communication skills, along with proficiency in ERP systems to handle project documentation, scheduling, and reporting. The Project Coordinator will work closely with project managers, team members, and stakeholders to ensure project milestones and objectives are met on time and within budget.

Key Responsibilities:

  1. Project Management Support:
  • Assist in the planning and coordination of project activities, including scheduling, resource allocation, and task management.
  • Develop and maintain project documentation, including project plans, schedules, and status reports using ERP systems.
  • Monitor project progress and performance, and prepare regular updates for project managers and stakeholders.
  1. Coordination and Communication:
  • Serve as the primary point of contact for project-related communications between team members, clients, and stakeholders.
  • Facilitate meetings, prepare agendas, and document meeting minutes.
  • Coordinate and track project deliverables, ensuring all team members are aligned with project goals and deadlines.
  1. Resource Management:
  • Assist in the management of project resources, including personnel, equipment, and materials.
  • Track and report on resource utilization, and assist in addressing any resource constraints or issues.
  • Coordinate with vendors and suppliers to ensure timely delivery of goods and services.
  1. Budget and Financial Tracking:
  • Support project budget management by tracking expenses and ensuring expenditures are within the approved budget.
  • Prepare financial reports and cost estimates as needed using ERP systems.
  • Assist in financial forecasting and variance analysis.
  1. Risk and Issue Management:
  • Identify and document project risks and issues, and assist in developing mitigation strategies.
  • Track and manage project risks and issues, ensuring timely resolution and communication to stakeholders.
  • Maintain risk and issue logs, and provide regular updates on their status.
  1. Quality Assurance:
  • Ensure that project deliverables meet quality standards and project specifications.
  • Assist in the implementation of quality control processes and conduct regular reviews of project outputs.
  1. ERP System Management:
  • Utilize ERP systems to manage project data, track progress, and generate reports.
  • Ensure accurate and timely input of project information into the ERP system.
  • Optimize ERP functionality to enhance project tracking and reporting.
  1. Documentation and Reporting:
  • Prepare and maintain comprehensive project documentation, including project charters, plans, schedules, and reports.
  • Generate regular status reports and project summaries for review by project managers and senior management.
  • Ensure all project documentation is organized, up-to-date, and easily accessible.

Qualifications:

  • Bachelor’s degree in Project Management, Business Administration, Engineering, or a related field.
  • Proven experience as a Project Coordinator or in a similar role, with a track record of supporting project management activities.
  • Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
  • Proficiency in project management software and ERP systems (e.g., SAP, Oracle), as well as Microsoft Office Suite.
  • Excellent communication and interpersonal skills, with the ability to work effectively with team members, clients, and stakeholders.
  • Strong attention to detail, with a proactive approach to problem-solving and issue resolution.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications:

  • Certification in Project Management (e.g., PMP, PRINCE2) or similar qualifications.
  • Experience working in the engineering, manufacturing, or construction industries.
  • Familiarity with project management methodologies and best practices.
